Coolers fail slowly, which is what makes them dangerous. A hot well that drops is obvious at a glance. A walk-in that has been running at 46°F since Thursday looks exactly like a walk-in running at 38°F, right up until somebody checks.

Note the gap between target and act-at. Running a cooler at 38°F rather than at 41°F is not over-engineering, it is the margin that lets you survive a door left open during a truck delivery without ever crossing the line. A unit that sits at exactly 41°F has no margin at all, and the first busy afternoon will put it over.
The Food Code sets 41°F for cold holding. It does not set a freezer temperature: the requirement is that frozen food stays frozen. 0°F is the industry convention, and it is the number worth logging because a freezer drifting toward 10°F is a freezer telling you something before the product suffers.
Where the thermometer goes
This is where most logs go wrong before anybody writes a number.
- Not by the door. The warmest spot in the box, and it reads the hallway every time
somebody walks in.
- Not against the evaporator. The coldest spot, and it will happily report 34°F
while the far corner sits at 44°F.
- In the middle, at product height, is the reading that describes what your food is
actually experiencing.
The built-in dial on the outside of the unit is a starting point, not a log entry. Those drift, and they measure return air rather than product. Keep a calibrated thermometer in the box and log that.
Calibrate with the ice-water method: a glass packed with ice, topped with water, stirred, should read 32°F. Do it monthly and after any drop, and write the calibration on the log so it is on the record.

Reading the pattern, not the number
A single high reading tells you very little. The shape across a week tells you almost everything, and it is the reason a log is worth keeping even when nothing is wrong.
Warm at open, fine by midday. Something happened overnight. A door not latched, a defrost cycle running long, or a delivery left in the box. Check the door gasket and the overnight schedule before you call anybody.
Fine at open, warm every afternoon. That is load, not failure. The unit cannot keep up with the door traffic of a lunch rush, usually because it is overstuffed or the condenser needs cleaning. Airflow, not refrigerant.
Creeping up half a degree a day. This is the one to act on early. A slow, monotonic climb is a compressor losing capacity or a condenser coil packing with grease. It will not recover on its own, and it will cross 41°F on the worst possible day.
Swinging wildly, high and low. A failing thermostat or a sensor in the wrong place. Check the thermometer before you call for service.
When it fails
- Check the food first, not the box. Take product temperatures. The air being at
45°F for an hour does not mean the food is, and a dense product may still be at 39°F.
- Apply the four-hour rule. Food held between 41°F and 135°F for more than four
cumulative hours is discarded. Under four hours, move it to a working unit and recheck. If you cannot establish how long, discard it: an unknown is not a pass.
- Write down the time, the temperature, and what happened to the food. That entry
is the difference between a managed incident and a violation.
- Move product before you troubleshoot. The compressor will still be broken in
twenty minutes. The chicken will not still be safe.
