Getting started
Signing in for the first time
Your store has one store number, and everyone on the team uses it. Ask your leader if you don't know it.
- Open the app (or go to flowstateqsr.com) and tap Sign in.
- Enter your store number, then pick your name from the list or type your username.
- Enter the password your leader gave you.
- You'll be asked to choose your own password right away. That's normal, and it means nobody else knows it.
- Pick Front of House or Back of House. You can switch anytime from the gear icon.
On iPhone you can turn on Face ID under My Account so you don't retype your password.
Getting the app on your phone
iPhone: search FlowState QSR in the App Store, or go to flowstateqsr.com/android and tap the App Store button.
Android: go to flowstateqsr.com/android and tap Download for Android. Your phone asks permission once before installing an app you downloaded yourself, and that page walks you through it. It takes about a minute.
Any device at all: FlowState runs in any browser. Go to flowstateqsr.com and sign in. On a phone your browser will offer to add it to the home screen, where it opens like the installed app.
Updates
The app tells you when a new version is ready. On iPhone it sends you to the App Store; on Android it brings you back to the download page to install the new file over the top. Your sign-in and everything in the app stay as they are.
Setting up a whole crew? Text them flowstateqsr.com/android. Everyone taps the same button on their own phone, and nobody needs an account with us just to download it.
I forgot my password
Ask any leader or your owner to reset it. It takes seconds: Team → your name → Reset password.
They'll give you a temporary password, and the app will make you choose your own the moment you sign in.
Leaders: if the owner is locked out and there's no second owner, email support@flowstateqsr.com. That one needs us.
Asking the app questions
Tap the red search button in the middle of the bottom bar. At the top you'll see Ask AI.
Ask in plain English: "how do I add someone", "what was yesterday's waste", "what's our hold time for grilled chicken". It answers using your store's own data and settings.
The same button finds any screen or tool: type three letters and go.
Setting up your store
Adding your team
Two ways, and the first is much faster:
Upload a schedule (adds everyone at once)
Go to Schedule → Upload and drop in your schedule file or a photo of it. FlowState reads the names, creates accounts for anyone new, and shows you each person's temporary sign-in.
Add people by hand
Team → Add a person. If you've set a team starter password, you can leave the password blank and they'll get that one.
Set a team starter password once and onboarding becomes one sentence you say out loud: "Store number, your name, and the password is ___." Everyone still picks their own on first sign-in.
Roles: who can see what
Team member: their shifts, their lineup spot, checklists, chat, recognition.
Shift leader: everything above, plus the Lineup board, checklists for the shift, food-safety logs, the timeclock board, and the Huddle tab.
Kitchen director / Marketing director: leader tools plus their area's reporting.
Owner: everything, including Team, store settings, payroll export, the audit binder, and billing.
Change someone's role in Team → their name → Role. Only an owner can create or promote another owner.
Changing your brand color
Owners can set the store's brand color at signup or later in Store settings → theme.
Pick a color and FlowState builds the full light and dark palette from it, then checks it for readability, so your app can't end up with text nobody can read.
Running a shift
Building the daily Lineup
The Lineup tab is your deployment board: who's on which station, by daypart.
- Pick the day and the daypart (morning / lunch / evening).
- Drag a teammate from the available list onto a station, or tap a station and choose.
- Tap Notify and everyone sees where they are.
Whoever's scheduled shows up in the available list automatically once a schedule is posted.
Name your stations first (Lineup → edit positions) so the board matches your real floor.
Setting the day's shift leads
Above the Lineup you can set who runs the day: a morning and night lead for both front and back.
Tap any of the four slots and pick a leader. You can set it days ahead. It sits apart from the drag-and-drop board on purpose, so a last-minute change never bumps it.
Everyone on the shift sees who's running it, so nobody has to ask.
Opening and closing checklists
Your store starts with sensible opening/closing lists. Make them yours in Checklists.
Turn your paper lists into app lists: tap Create from a photo or file and snap a picture of the list on your wall. FlowState reads it and builds the checklist for you.
Assign a list to a specific person so it's clearly owned, and set a due time so it shows up as the shift's next thing.
Food safety
Temperature logs and the audit binder
Temps logs your cold-hold and hot-hold readings on the rounds you define (opening / midday / closing by default).
Set your rounds and which items get checked in Store settings → temperature rounds.
When the inspector walks in
Owners can produce the Audit Binder in one tap from the tools list: every log for a date range, print-ready. There's also a plain CSV export.
Edits and deletions are recorded. If a reading is corrected, the original is kept and the export shows that it was edited. That is what makes the records trustworthy.
Timeclock & payroll
Timeclock, breaks, and payroll
The timeclock is off until an owner turns it on in Store settings.
Once on: teammates clock in and out from the Timeclock tool, leaders see who's on the clock, and breaks follow the rules your store sets (including the stricter rules for employees under 18).
Payroll
Owners export a payroll CSV for any pay period: regular and overtime hours, break deductions, and flags for anything unusual. Give it to whoever runs your payroll.
Time records are kept for the period wage-and-hour law requires, so an old pay period is still exportable.
Money
Tracking waste in dollars
Add the items you actually throw away and what each costs, in Waste → manage items. Then logging is one tap per item, and the app shows the day's waste in dollars.
That dollar figure is usually the fastest money FlowState finds. Most stores are surprised by it in week one.
Leadership
The Weekly Huddle (leaders only)
The Huddle tab is your leadership meeting, and crew never see it.
Scorecard: the handful of numbers you watch weekly. Some fill in from store data automatically.
Plays: your 90-day priorities, each owned by one leader.
The Queue: issues anyone drops in all week. The huddle votes on what matters and solves them one at a time.
To-dos: what came out of the meeting, with an owner and a date. Items that survive two huddles get flagged.
Run the meeting with the built-in timer: every leader's screen stays on the same segment and the same clock. At the end, write one recap and it posts to your crew.
Communication
Team chat
Messages has channels for the whole store (#general, #announcements) and direct messages.
Start a new one with the red + next to "Messages", or use the small + next to Direct messages or Channels to go straight to that kind.
The Messages icon in the bottom bar shows a count when you have unread conversations.
Multi-unit
Running more than one store
Owners can group locations into an Organization (in the tools list).
- Add a location yourself. It is created instantly and inherits your brand color, time zone, and team password.
- Jump between locations without signing out. Tap any location in the list.
- Add group members: leaders who should reach every location. Owners can manage; view-only can see the numbers.
The Multi-store screen is the other half: how every location is actually doing, side by side.
Troubleshooting
Using the app with bad signal
FlowState keeps working when the signal drops. What you were looking at stays on screen, and things you log are saved and sent once you're back.
If something looks stale, pull down to refresh.
Billing
Billing, plans, and cancelling
Plans are per store: monthly, annual, or a one-time lifetime license. Every teammate is included on every plan, so you never pay per person.
Bought on the web? Manage or cancel from the billing link in My Account. Bought in the iPhone app? Manage it in your Apple ID subscription settings.
If a subscription lapses, nothing is deleted. The store pauses, and everything comes back exactly as it was when you renew.

Privacy & data
Your data, exports, and deleting an account
Anyone can download their own personal data or delete their account from My Account. Deleting removes your profile details and signs you out everywhere.
Some records your store is legally required to keep stay with the store even after an account is deleted: time records, food-safety logs, and disciplinary records.
Owners can export payroll, temperature logs, and the full audit binder anytime.
